Accounts Payable/Accounts Receivable Clerk
Objective and Responsibilities:
Administrative Department seeking qualified candidate for Accounts Payable Clerk or Accounts Receivable Clerk, depending on experience. Ideal candidate will enjoy learning both positions and switching with counterpart every 6 months.
Duties – Accounts Receivable Position:
- Greets clients, answers main telephone system, makes referrals, takes messages, and directs calls appropriately. Also manages phone system administration.
- Pick up mail daily, receives and distributes incoming mail (external and internal). Sends mail certified if needed.
- Performs tasks such as calling customers, scanning, emailing & filing paperwork.
- Generates monthly billing for two entities. Analyzes both entities for collections and/or liens.
- Reconciles cash received weekly and performs the deposit of all wires and checks in the bank and the data capturing software.
- Scan, enter, and reconcile aggregate pit data in order to bill customers.
- Fields calls and provides support to Storage Facility customers as needed.
- May perform other accounting and clerical functions as needed.
Duties – Accounts Payable Position:
- Review, analyze and post all invoices to expense accounts with attention to detail.
- High level of correspondence with vendors and internal departments to ensure invoice payment deadlines are met for discounts and special payment terms.
- Maintain historical records by filing all documentation in a paperless system.
- Complete month end accounts payable closing by reconciling vendor statements to entirety.
- Correspondence and documentation via Outlook email with all vendors and internal departments.
- Protects company’s value by keeping information confidential.
- Records Bank and Vendor ACH and wire transactions.
- Accesses necessary portals to acquire required documentation for invoice payment.
- Assess and assign the correct taxation for invoice payment.
- Assist with Front Desk coverage by answering main telephone line and directing calls appropriately.
Education/Experience:
- Must have at least 2 years-experience with Microsoft Office programs.
- Must be able to perform basic math.
- Accounting (AR or AP) experience is required.
- High School level of education required.
- Must successfully pass a pre-employment drug test.
- Have clean driving record.
